History & delivery
Secure and public links
Every document you generate has a link. You choose one of two kinds.
Secure
The link expires after 24 hours. Links written into something you keep last 7 days: the bulk run's CSV with links and the document emailed to a form's respondent.
Choose Secure for anything private, such as invoices, payslips or contracts. Once the link expires, only people in your team can get the document again, by downloading it from History.
Public
The link never expires, and anyone who has it can open the document.
Choose Public when the document is meant to be shared or shown: a link pasted into a spreadsheet, an image on a web page, a certificate sent by email.
Where you choose
- Generate page: under Link visibility, before you click Generate. Word templates always use Secure here.
- A template's default: open the template, click Edit template, go to Settings, and set Render visibility. New templates start as Secure. The API uses this unless told otherwise.
- The API: send
visibilityaspublicorsecure. See the API guide. - Bulk runs: choose when you download CSV with links from History.
- Automations that write a link or attach the file to your sheet or table use Public, so it keeps working there. Change it under Link type in the automation's Delivery step.
- Collections follow each template's own setting unless the request sends
visibility.
