Core concepts
Templates
A template is the design of a document or image. It has two parts: the content that stays the same every time, such as your logo, layout and footer, and fields, the parts that change, such as a name, a total or a photo.
There are three kinds of template:
- Visual editor: you place text, images and shapes on a page by dragging them. Good for certificates, badges, social media images and banners.
- Typst: you write the layout as text. Good for invoices, reports and long documents whose length depends on the data.
- Word document: you upload a
.docxfile and mark the parts that change with{{curly braces}}. Good for letters, contracts and anything you already keep in Word.
See Choosing a template engine to decide between them.
Fields
Fields are the gaps a template fills in each time. A certificate might have recipient_name and course_name; an invoice might have client_name, amount and due_date.
You define the fields when you build the template. Each time you generate, you give a value for each field. A field left empty is left out of the document; see Blank values.
Ways to generate
- The Generate page: fill in the fields yourself and download the result.
- From a spreadsheet: upload a CSV file and get one document per row. See Bulk generation.
- Agents: generate a document when a form is submitted, a row in Google Sheets or a record in Airtable is ready, or on a schedule. See Agents. From Zapier, see Zapier.
- Forms: each response to a form can generate a document. See Generating documents from a form.
- Dynamic URLs: a link with the field values in it, which returns the finished document when opened. Useful in emails and web pages. See Dynamic URLs.
- The API: generate from your own software. See the API guide.
Brand Kits
A Brand Kit keeps your colours, logos and fonts in one place, ready to use in any template. See Brand Kits.
History
Every document you generate, whichever way it was made, is listed in History, where you can download it again. See Find and download past documents.
