Save a document to an Airtable record

This sets up a workflow that watches one table. When a record is added or changes, a document is made from its fields and saved back to the record.

Prerequisites

  • An Airtable account connected under Connectors.
  • A template whose fields match your Airtable field names.
  • An attachment field for the document, or a URL field for its link.

1. Create the workflow

On Workflows, click New workflow, then Start blank. Name it in Settings.

2. Choose the table

Open Run when and choose Airtable record under Also start it. Choose your Airtable account, the Base and the Table.

Choose Run when: A record is added, A record changes, or A record is added or changed. To run only when a record is ready, for example when a Status field becomes Ready, set Only when this field changes to Status and To this value to Ready.

3. Make the document

Open Steps, click + on the line in the diagram, then Step, and choose Generate document. Pick the Template, and under Field values choose the record's fields for each template field.

4. Save it to the record

Click +, then Step, and choose Update Airtable record. Choose the same account, base and table, and the record from the trigger. Under Fields to write, put the document in your attachment field, or its link in a URL field.

5. Write errors into the record

On the Generate document step in the diagram, click ⋯, then Add "If it fails". Click + on the new path, add a step, choose Update Airtable record, and write ERROR: and Why it failed into a text field. The record then shows the reason, and the task completes.

6. Save a version

Click Save version, then add or change a record. The document appears on it within a minute.

If your Airtable sign-in expires after a long time unused, click Reconnect under Connectors.
