Paths, loops and failures

Steps shows the steps as a diagram on the left, with the selected step's settings on the right. Click a step in the diagram to open it. To add a step, click + where you want it: under the last step, or inside a path, a loop or a branch.

The steps on this page run exactly as drawn.

Take a different path

Use Choose a path when what happens next depends on the data, for example a different template for each country, or approval only for large amounts.

  1. Click +, then Choose a path.
  2. Under Paths, give the first path a name, then add a rule: choose a value to check, how to compare it, and what to compare it with. Click Add a rule for more; with two or more, choose whether the path needs all of them or any of them.
  3. Click Add a path for each other case.
  4. In the diagram, click + under each path and add its steps.

Paths are checked from the top, and the task takes the first one whose rules match. If none match, it takes Otherwise. After the path's steps, the task carries on with the step below the paths.

Repeat steps for every row

Use For each row when a list needs the same work on each item, such as one certificate for every attendee.

  1. Click +, then For each row.
  2. Under Rows, choose the list from an earlier step, such as the rows from Get rows.
  3. In the diagram, click + inside the loop and add the steps for one row. In their settings, The current row holds that row's values.

If a row fails decides whether the loop carries on with the rest or stops the whole task. At most limits how many rows it works through.

Do several things at the same time

Use Do these at the same time when steps do not depend on each other, such as sending a document to three people for review at once.

  1. Click +, then Do these at the same time. It starts with two branches; click Add a branch for more.
  2. In the diagram, add the steps for each branch.

The task carries on after the branches when all of them are done.

Wait, or end the task early

  • Wait pauses the task for a set time, or until a date, such as one day before a due date in your data, and then carries on.
  • End task stops the task where it is. Under End as, choose Completed or Failed, and give a Reason if you want one shown on the task.

Decide what happens when a step fails

A fixed step that fails stops the task, marked failed, with the reason. To handle the failure yourself instead, click ⋯ on the step in the diagram, then Add "If it fails":

  1. Click + on the If it fails path, then Step, to add what should happen, for example Update Airtable record with Why it failed written into a field.
  2. To stop there, click + again, then End task, and choose Completed or Failed.

The steps under If it fails run in place of the failed step, and then the task carries on with the next step. If it fails is available on every tool step.
