Approvals and reviews
A task can stop and wait for a person in three ways:
- Ask for approval: a step that always waits for someone to click Approve or Reject. Use it before anything leaves your team, such as an email to a supplier.
- Checks on a tool: Extract data and Split PDF check their results against rules you set, and wait for a person only when a check fails.
- Unsure decisions: Decision says how sure it is of each answer. Below the level you set, a person decides.
While a task waits, extracted data shows as a card. The person can click Edit, correct any value, and Save before approving. The task carries on with the corrected values.
When a person checks the work, they can Approve, Request changes with a note saying what to change, or Reject, which stops the task.
Add an approval
Click + where it should wait, then Ask for approval, and choose who approves.
Add checks to a tool
Open Tools and click Extract data or Split PDF. Write the rules under Checks, for example "the total equals the sum of the lines", and choose the Reviewers. When a check fails, the task waits, and the value that failed is highlighted with the reason.
Set how sure a decision must be
Open Tools and click Decision. An answer at least as sure as Carry on when at least goes ahead by itself. One below A person decides below is unsure, and the step takes its Unsure path. In between, a general AI model looks at it again and says why. Turn on Give a reason for every answer to have a reason for all of them.
Approve and review
The person is emailed a link to the task, unless Email people when a task waits on them is off in Settings, and the task shows under Needs you. They approve, reject or correct in the task itself. They can also reply to the email, starting the reply with approve, changes followed by what to change, or reject.
Learn from corrections
When a reviewer corrects a value, Automette can suggest a rule from it, such as "dates on this supplier's invoices are day first". All rules appear under Rules, where you can change or remove them. A suggested rule applies once someone approves it.
Teach it a field by highlighting
When an extraction misses a value or reads the wrong one, open the file beside the task and click the highlighter at the top. Draw a box over the value, then choose the field it is, or A field not read yet and give it a name. Automette writes an extraction rule from where the value sits and its label, for example: Take "Payment method" from the value next to "Payment" (top right of page 1). Reword it if you like, and choose whether it applies to that sender's documents or to every document.
Highlight as many values as you need, then click Save or Save and re-run. The values go on the result, and the rules appear under Rules, marked Extraction rule. Every later extraction in this workflow follows them.
