Create a workflow

1. Describe what should happen

On Workflows, click New workflow, and write what should happen, and when. For example:

When someone submits the booking form, fill the confirmation template with their answers and email it to them.

Then click Set it up. Automette shows the steps as it sets them up, and lists anything it needs from you under Still needed, such as which template to use. Nothing is made until you click Create this workflow.

To start from a ready-made workflow instead, click one under Ready-made:

Ready-madeWhat it does
Form to documentMakes a document from each form response and emails it to the person who sent it.
Form to document, with approvalThe same, but the email goes only once you approve the document.
Google Sheets row to documentMakes a document from each new row and writes its link into the row's Document column.
Airtable record to documentMakes a document from a record and attaches it to the record's Document field.

Then choose your form, sheet or table and the template. The template's fields are matched to the questions or columns by name; check them in the Generate document step.

To set everything up yourself instead, click Start blank.

2. Choose what starts it

Click Runs when at the top of the diagram, and choose what starts it, such as Form submitted, Google Sheets row, Airtable record or a schedule. You can always run it by hand or from the API as well.

3. Check the steps

Steps shows the workflow as a diagram. Click a step to open its settings beside the diagram, choose its Tool, and fill in its settings. Values from earlier steps are chosen from a list.

A step can use AI to do its job: Extract data reads a document into fields, Decision classifies, scores or checks it, and AI call answers a prompt. The steps still run in the same order every time.

To add a step, click + on the line in the diagram. Besides tool steps, you can add paths, loops, approvals and waits. See Paths, loops and failures.

4. Test it

Click Run a task in the sidebar, turn on Run the draft, fill in any values it asks for, and watch the task. Test tasks are marked Test run.

5. Save a version

Your changes save as you make them, but tasks run the active version. Click Save version. From then on, everything that starts the workflow runs the new version.
